Senior Program Manager
The Senior Program Manager is responsible for the strategic planning, concept development, logistics, and program implementation for ESG Incentives’ incentive travel programs, meetings, and events.
The Senior Program Manager will manage the day to day execution plan of assigned programs including planning, communications, travel experience, logistics, data management, supplier purchasing, budget development/management, financial reporting, and travel technology for ESG Incentives’ current and future clients.
The Senior Program Manager is responsible for working directly with our Managing Director for the proposal and planning development stage of domestic and international incentive travel programs including sourcing and RFPs, supplier selection, event concepts and activity development, hotel negotiations, and budgeting/costing.

Position Expectations and Responsibilities:
- Requires high performance skills in project and client management
- Provides strategic direction with client to develop program objectives, maximize impact of events and communication
- Possesses the ability to deliver new creative ideas on a consistent basis
- Manages the concept development and logistics for incentives, meetings, and events
- Oversees and manages program details, including budget development, transportation manifests, agendas, program materials, etc.
- Manages the onsite team and suppliers
- Manages budgets, controls costs, and complies with financial profitability and pricing targets for each program
- Negotiates all supplier contracts for the best possible prices and concessions in order to meet clients expectation
- Coordinates, plans, and executes site inspections with clients and suppliers
- Provides a high level of customer service and guidance in handling problem resolutions
- Proven ability to work on multiple tasks and prioritize effectively while managing multiple projects
- Monitors hotel penalties and attrition clauses
- Adheres to all deadlines and turnaround times
- Ensures internal and external reporting and data requirements are met
- Initiates client billing and invoicing
- Participates in initial proposal process with Managing Director and obtains program details in preparation for sourcing
- Knowledgeable of new destination options, well-priced seasonal destination options, and unique travel experiences and offerings
- Keeps vendors up-to-date on proposal status. Blocks appropriate space and releases all space not needed on a timely basis.
- Sources and manages all vendors and adeptly control contract negotiations
- Travel approximately 35% of the year
Position Requirements:
- 3+ years related experience in the Incentives and Meetings Industry
- 2-3 years planning high profile incentive travel programs
- Strong negotiation skills
- Strong organizational and interpersonal skills
- Excellent time management skills
- Strong customer service skills
- Strong verbal and written communication skills
- Extensive travel industry and international destination knowledge
- Ability to present to key client stakeholders and C-level executives with high level of professionalism
- Detailed understanding of incentive planning with specific assignments in the program delivery phase of a program
- Manage third-party vendors in procurement of incentive, meeting, and events program elements
- Work independently as well as collaboratively within a team environment
- Attention to detail
- Ability to work well under pressure
- Bachelor’s Degree education level required
